Purpose
This policy outlines See Media’s commitment to ensuring equal access to information and communications for all stakeholders, regardless of their abilities, language preferences, or location. The aim is to remove barriers that may prevent effective communication and ensure that all individuals can participate fully in accessing information, discussions decision-making.
Scope
This policy applies to all internal and external communications, including but not limited to digital, written, verbal and visual communications. It applies to all See Media employees, associates, suppliers and clients. It also underpins how we advise and create content for our clients.
Policy Statement
See Media is committed to:
1. Accessible Digital Communication
- All digital content (e.g. emails, websites, intranet, social media and multimedia content) will meet established accessibility standards, such as the Web Content Accessibility Guidelines (WCAG 2.1) to ensure compatibility with assistive technologies (e.g. screen readers).
- Documents will be made available in accessible formats such as plain text, large print and audio when requested.
- Video content will include captions, transcripts and audio descriptions where applicable.
2. Language and Cultural Inclusivity
- All content will be written in clear, plain language.
- Efforts will be made to accommodate cultural differences in communication styles and preferences.
- See Media will make sure all digital communications work with translation tools such as Google Translate
3. Equal Access to Verbal Communications
- Meetings, conferences and presentations will be inclusive for all participants. This includes offering real-time captioning, sign language interpretation and other reasonable accommodations as needed.
- Teleconference or virtual meeting platforms used by See Media will have accessibility features enabled, such as captioning and keyboard navigation.
- Advance notice of communication needs will be requested from participants to ensure appropriate accommodations.
4. Accessible Physical Communication Materials
- Printed materials such as brochures, flyers, and reports will be designed in accessible formats using clear fonts, high contrast and easy-to-read language.
- Alternate formats, including Braille and large print, will be available upon request with adequate notice.
5. Feedback and Continuous Improvement
- See Media encourages feedback on the accessibility of its communications. We regularly review and update communication practices to ensure compliance with evolving standards and stakeholder needs.
- Regular training will be provided to the See Media team on best practices in accessible communication.
Responsibilities
- All team members and associates must comply with this policy and actively participate in maintaining and enhancing communication accessibility.
- The management team is responsible for ensuring our colleagues are aware of and adhere to this policy in all communications.
Review
This policy will be reviewed annually or as necessary to reflect changes in laws, regulations, or business needs.
